What we collect, why, and the choices you have.

Draft for review. Highlighted items are still to be filled in, and both pages should be read by a lawyer before launch.

The short version

  • We collect what you send us through our forms and emails, plus the business details we need to pitch for the brands we represent.
  • We use it to reply to you and to do the work we’re hired for. We don’t sell it, and we don’t use it for advertising.
  • We never share one store’s numbers with another store or another brand.
  • Store buyers can stop our emails at any time with one reply.
  • Write to us through our contact page to see, correct or delete what we hold about you.

1. Who we are

{{brandName}} (“we”, “us”) represents emerging natural and specialty food brands to grocery stores. This policy explains what personal information we collect through our website, our forms and our emails, how we use it, and the choices you have.

It covers brand founders and staff, store buyers and staff, and anyone else who visits our site or writes to us. Business data that a brand shares with us under a signed agreement, such as distributor reports, is covered by that agreement as well as by the commitments in section 5.

2. What we collect

What you give us

  • Contact forms: your name, email, brand or store name, website, city and state, the distributors you use, how many stores carry you, what’s missing on your shelf, a link to your vendor form, and anything else you choose to write.
  • Emails, calls and meetings: what you tell us, including replies to our pitches.
  • Brands we work with: product details, price lists, spec sheets, insurance certificates, and exports of your distributor and accounting records.

What we collect from others

  • Public business information about stores and their buyers, such as names, roles and work emails published on store websites, vendor pages and industry directories.
  • Brands we represent may introduce us to buyers they already know.
  • Distributor reports that a brand shares with us show that brand’s shipments to individual stores. They describe stores, not individual shoppers.

What’s collected automatically

When you visit our site, our hosting provider records standard technical details such as your IP address, browser type, the pages you view and the time of your visit. We use these only to keep the site running and secure. We don’t use advertising cookies or cross-site tracking.

3. How we use it

  • To reply to your message and to see whether we’re a fit.
  • To do the work a brand hires us for: finding stores, preparing and sending pitches, filling in vendor forms, following up with buyers, tracking orders and stock, and preparing monthly statements.
  • To send store buyers product pitches for the brands we represent, based on what the store has told us or published.
  • To keep records of our conversations and agreements.
  • To keep our site and systems secure, and to meet legal obligations.

We don’t sell personal information, share it for targeted advertising, or add you to a newsletter.

4. Who we share it with

  • Brands we represent: a store buyer’s questions and decisions about that brand’s products, so the brand knows where it stands.
  • Store buyers: a brand’s own product information and order history, only with that brand’s permission.
  • Service providers that help us run our business, such as website hosting, email, file storage and form tools. They may use the information only to provide their service to us.
  • Legal and safety: when the law requires it, or to protect our rights or someone’s safety.
  • Business transfers: if we merge with or are bought by another company, under this policy’s protections.

5. How we handle brand and store data

  • A brand’s distributor, sales and accounting data is used only to do our work for that brand.
  • We never share one store’s numbers with another store or another brand.
  • We never share one brand’s data with another brand.
  • We follow the confidentiality terms in the brand’s distributor agreements for data that comes from them.
  • When a brand stops working with us, we return or delete its data within 30 days, except records we must keep by law, such as invoices.

6. Emails to store buyers

Every email we send for a brand says who we represent and how to stop hearing from us. Reply “stop” or tell us in any way and we’ll stop, usually right away and always within 10 business days. One “no” to an item stops pitches for that item unless you ask again.

7. How long we keep it

We keep form messages and emails for as long as we need them to reply and keep a record of our conversation, and generally no longer than 24 months after our last contact unless we start working together. Information about brands we work with is kept for the length of our agreement and then handled as described in section 5.

8. Your choices

You can ask us to show you, correct or delete the personal information we hold about you, or to stop contacting you. Write to us through our contact page. We’ll confirm it’s you and reply within 45 days. We may keep what the law requires us to keep.

9. How we protect it

We use reasonable safeguards, including encrypted connections, access limited to people who need it, and service providers with their own security programs. No system is perfectly secure, so if something goes wrong that affects you, we’ll tell you as the law requires.

10. Do Not Track and cookies

Our site doesn’t track you across other websites and doesn’t let third parties do so, so a browser’s Do Not Track signal doesn’t change how it works. We don’t use advertising or analytics cookies.

11. Children

Our site and services are for businesses. They aren’t meant for anyone under 16, and we don’t knowingly collect information from children.

12. Where we store it

We’re based in the United States, and we and our service providers store information in the United States.

13. Changes to this policy

When we change this policy, we’ll update the date at the top. If a change is significant, we’ll also email the brands and stores we work with before it takes effect.
